SMS/Text Messaging Policy
AID Upstate (“we,” “us,” “our”) is committed to protecting the privacy and confidentiality of the individuals we serve. This notice explains how we handle your information when you opt in to receive SMS messages from us.
Opt-In / Consent
Providing your mobile number and opting in is voluntary and is not a condition of receiving services from AID Upstate. You may opt in to text messaging by completing a consent form provided by your case manager, prevention specialist or other AID Upstate employee. If you initiate text messaging without a completed consent form on file, a staff member will follow up to obtain written consent before continuing text communication.
What We Collect
When you opt in to receive text messages, data collected may include your mobile phone number, carrier name, and the date, time, and content of your messages and any other information you provide. Message content may be retained for recordkeeping purposes.
How We Use Your Information
We use your information to send messages related to your case management or prevention servcies, including but not limited to appointment reminders, follow-up notifications, status reports, resource referrals, program updates, and social services support and delivery. AID Upstate makes every effort to include only the minimum necessary information; however, due to the nature of our services, messages may include sensitive personal information such as health details, family/household status, and legal matters. Messages will only be accessed by AID Upstate staff with a legitimate need.
Message Frequency & Costs
Message frequency varies based on your care needs and program enrollment. AID Upstate does not charge for text communications; however, standard message and data rates from your mobile carrier may apply. AID Upstate is not responsible for any charges incurred through your carrier.
Opt-Out / Help
You may opt out at any time by texting STOP or contacting an AID Upstate staff member. For assistance, text HELP or visit www.aidupstate.org.
Sharing Your Information
AID Upstate will never sell your personal information or share it with third parties for marketing purposes. Information collected through text messaging is used solely to facilitate communication between you and AID Upstate staff. Your wireless carrier and other service providers may collect data governed by their own policies.
Data Security
AID Upstate takes reasonable administrative, physical, and technical safeguards to protect information exchanged through text messaging, including use of HIPAA-compliant or BAA-covered messaging vendors, staff training on privacy and security practices, and access controls. By opting in, you acknowledge and accept that electronic communications may not be fully secure.
Policy Scope & Updates
This policy applies specifically to SMS/text messaging and does not replace AID Upstate’s general Notice of Privacy Practices. AID Upstate reserves the right to update this policy; clients will be notified of material changes. A copy of our full Privacy Policy is available at aidupstate.org/privacy.
